Job Description:

The administrator will provide office support to the stakeholder relations team. Duties may include fielding telephone calls from parents and learners for the Ruta Sechaba Foundation administration office, application processing and the administration thereof, word processing, creating spreadsheets, invoicing administration of all suppliers, and filing. The administrator will report to the executive of the stakeholder relations division.

Job Responsibilities:

  • Manage inbox – reply to email enquiries
  • General administration management such as ordering learner stationery, textbooks, uniforms, etc.
  • Assist with invoice capturing of all supplier invoices
  • Manage and file all folders
  • Act as liaison between centralised office and the school where scholarship enrolments are concerned
  • Data capturing, ensuring the correct information is captured (scholarship application process)
  • Manage communications with various stakeholder groups (parents, learners, staff, school transport provider, etc.)
  • Provide administration support to the executive and project coordinator with all enquiries where required

Job Requirements:

  • Fluent in MS Office (Word, Outlook, Excel, PowerPoint, Teams, Forms)
  • Ability to communicate in vernacular languages, preferably isiXhosa, isiZulu, Sepedi, Setswana, or Sesotho
  • Highly computer literate
  • An accredited post-matric qualification in office administration
  • Minimum of three years’ experience in a similar role
  • Well-versed in advanced functions in MS Outlook, such as filters, rules, and mail merge
